Job Profile:

We’re looking for the best and brightest Facilities & Administration Manager to grow with us in a new period of significant expansion. We are now accepting resumes for an individual that will bring our spaces to life by overseeing the daily operations of our buildings, and providing exceptional support and structure to our Administration Team. Reporting to the Director of Finance, this opportunity will begin as a one year contract, with high potential to go permanent, and will see you drive reliable and continuous improvement and optimization of all Facilities and Administration processes. As the go-to Manager you will manage day to day operational and administrative needs for our five locations, including our Corporate Office, and you will be an integral contributor to new locations.

You will keep the operation of the organization smooth, organize functions of the administrative staff, maintain facilities and liaise with contractors and vendors to provide facilities services. The Manager is the primary point of contact for all internal employee facilities requests and manages all aspects of interoffice and intraoffice employee moves. The Manager oversees the administrative staff, including reception, program administrative staff, and facilities service providers (i.e. cleaning, facilities repair, courier and mail, etc.) and ensure their compliance with standards and contracts.

In addition, you will maintain office equipment, physical space, and, in collaboration with the Director of Information Technology, the Telecommunications systems for the agency across all facilities. The incumbent negotiates leases, vendor contracts and furniture purchases and this role handles building-equipment emergencies on an ongoing basis and serves as a liaison between staff and outside contractors called in to fix problems. The successful candidate will also manage facilities repair expenses and budgets, and will review office-related expenditures. You will create and monitor procedures related to room bookings, facility operations and resolves inter-office facility operation issues.

You will lead all facility projects, makes administrative decisions, and manage the work product and work deadlines of the administrative staff. A key responsibility is to encourage focus in these professional positions and to deliver timely, quality service. As our Facilities and Administration Manager you are fully comfortable in a fast-paced environment, providing high standards of excellence, in both building and maintaining office spaces, and developing an Administration Team that strengthens our company. In addition to compliance with all organizational policies and procedures, the incumbent is also expected to behave ethically, demonstrate competence in effective communication and team building, demonstrate effectiveness in working in a collaborative environment, and demonstrate confidence in decision-making and in building relationships.


• A diploma in Business or Administration, or equivalent, is required; a degree is preferred
• 2-3 years of supervisory experience, leading facilities projects and external vendors, is required
• Experience in supervising, and performance-coaching, administrative support teams is required
• Must have knowledge in business law regarding contracts and sales agreements in order to prepare agreements between a department and other agencies
• Must be aware of crisis management techniques required to effectively manage emergency situations
• Should have good knowledge in business English required to produce analytical and technical reports in the appropriate format
• Must be aware of the provincial and federal laws and regulations related to the work unit
• Strong proficiency with Microsoft Office programs
• A tactful and positive individual who can easily face and overcome challenges in the workplace
• A valid Canadian Full G driver’s license, with minimum $1M third party liability insurance and a reliable vehicle
• Ability to perform small maintenance repairs when necessary
• A second language is an asset
• JHSC certification is an asset
• A satisfactory Police Check is required

This position reports to and is supervised by the Director of Finance.

Working Conditions:
• Able to work for long hours and on weekends in order to fulfill job responsibilities on time
• Office environment, travel between offices, outside environment when needed
• Ability to work at computer for extended periods of time
