As our facilities ‘guru’, you will work with the team to handle any facilities related inquiries that come your away.
You will be responsible for the day to day office administration of our Oakville office. You are an excellent relationship builder supporting all facets of our Facilities department, with a strong focus on providing the best ‘wow’ experience to all internal and external clients.
A Day in the Life of the Facilities Coordinator:
• Respond to external and internal client’s inquiries and concerns. Ensures timely and quality service delivery and follows up. It’s all about the client experience!
• Manage the following vendors: Indoor plants, coffee/vending, mail delivery, external telephone lines, cell devices, business cards, printing, office supplies, couriers
• Be the face and voice of Pelmorex Corp.! Assist the team with Reception relief
• Coordinate photocopier and fax equipment, including service, user needs, invoicing and lease negotiations
• Coordinate the company telephone lines, including handsets, reception console, voice mail, invoicing, reporting and negotiating contracts
• Coordinate and administer the company cell phone contract, including cell phone devices invoicing and negotiating contract. Assist Finance with monthly invoice audits
• Oversee outgoing mail delivery and manage internal mail equipment.
• Coordinate and manage all AV equipment. You are awesome at troubleshooting those tech issues!
• Assist with set up and maintenance of boardrooms as required
• Coordinate employee furniture moves and changes
• Assist Building Operator with receiving/shipping and meeting room set ups
• Assist in ensuring healthy and efficient working environment, which includes active participation in the Pelmorex Health and Safety Committee. Health and Safety is top priority.
• Other duties as assigned
YOU Have:
• Minimum 3 years related work experience in an office admin/facilities role
• Undergraduate degree or College degree preferred
• Knowledge of MS Office, Word and Excel
• Strong verbal and written communication skills – ability to negotiate is key
• General technical and maintenance knowledge
• Basic knowledge of financial terms and principles
• Knowledge of basic Auto Cad an asset
