Job Description

Overall Accountabilities:

The Corporate Facilities Specialist will be responsible for the successful day to day operation of the facility environment, managing external vendors, assist in maintaining backup systems, and coordinating and planning internal moves and external service providers.

General Role & Responsibilities:
•Submit maintenance requests to building management for any facilities related issues
•Proactive in ensuring that IFDS maintains a clean and safe working environment
•Responsible for daily maintenance of our Corporate Facilities mailbox, requests, and tickets to ensure all internal requests are looked after or escalated accordingly
•Respond to urgent after hours facilities issues at the main and backup site for facilities and data Centre equipment
•Develop and maintain relationship with external vendors and internal clients pertaining to Corporate Facilities initiatives
•Responsible for planning overall seating arrangements and coordinate internal office moves
•Collaborate cross functionally with internal departments to ensure proper set up of new IFDS employees
•Enforce security policy for both internal staff and external guests
•Activate and deactivate cards for new hires and terminations
•Create and review security reports and ensure successful audits
•Work with the compliance team to meet audit requirements/requests
•Act as primary backup to Corporate Facilities Manager

Minimum Qualifications:

•Post – secondary education in Facilities Management or related field
•Strong interpersonal skills to work efficiently with clients and vendors
•Self-motivated with exceptional organizational skills to prioritize tasks and meet deadlines
•Team player who can work well in a fast paced environment
•Accountable with strong initiative and ability to handle increased responsibility over time
•Flexibility to work after hours when required
•Knowledge of Data Centre/Server Room Operations Maintenance and act as SME for the team

•Excellent time management skills to ensure tasks are completed in a timely and thorough manner
•Must have strong written and oral communication skills
•Knowledge of the Autocad program preferred
•Working knowledge of physical security systems is an asset
•Proficient use with Microsoft programs (Word, Excel, Powerpoint, and Outlook)
