Facility Coordinator
Location: Toronto, ON -Canada

Position Overview
The Facilities Coordinator will maintain site to meet high company standards for organization, cleanliness, aesthetics and sustainable operations. Proactively coordinates day-to-day facilities operations, working directly with Facility Manager, and/or property management groups.

Responsibilities
Perform daily facilities maintenance inspections of public and common areas by conducting “walk-throughs” of site to ensure organization, cleanliness, and compliance with local health and safety regulations
Use BIM 360 Ops ticketing system for service, repairs & maintenance, determining the nature of the problem(s) and either completing the request or recommending appropriate solutions to customers in a timely manner. Coordinate work with outside vendors to complete requests as needed. Close tickets in timely manner when work is complete
Oversight of building security access and camera systems. Manage all repairs and maintenance
Proficient with basic tools, light handy work, building maintenance, facilities inspections and hands on with light maintenance tasks
Manage and assist with event set-ups and tear-downs of multi-purpose, conference, and training rooms as directed by Facilities Manager. Provide oversight and support to customer functions and events as necessary
Oversight and back up with distribution of building supplies, including conference room, copy room, and kitchen supplies as well as ensuring the daily stocking of same. Ensure LUMA kits are stocked and in conference rooms
Coordinate move activities, ensuring accurate and timely accounting of quarterly desk audits
Work with and direct activities of building vendors, including day porter, janitorial and maintenance staff
Model company safety policies and participates in Emergency Response Team efforts. Supports efforts of onsite Safety Consultant
Maintain professional appearance of reception area, common areas, labs, conference rooms, and food service areas
Proactively escalate issues that need a manager’s immediate attention
Support Facilities Department by maintaining filing and records in accordance with organizational and/or legal requirements. Assist with departmental purchases, payment and tracking as pertains to vendors. Work with Facilities Manager to ensure department bills are paid in a timely manner
Ability to serve as back up with all shipping and receiving related tasks
Ability to serve as back up to Reception and all related tasks
Provide technical assistance with audio visual issues; manage vendor to perform preventative maintenance of systems and AV projects
Oversight of all storage rooms, tools, facility supplies, and additional furniture items

Minimum Qualifications
3+years relevant facilities experience
Associate degree or equivalent, IFMA or similar accreditation
Experience with sustainable building operations
Technical experience with building control systems, environmental systems and audio/visual preferred
Excellent oral and written skills and proficiency with all Microsoft Office applications is required
Strong customer service skills – pleasant, friendly, cheerful, energetic, courteous and professional demeanor
Flexible and able to multi-task effectively
Previous project management experience
Organized and able to prioritize assigned tasks
Timely, accurate, and detail oriented
Shows initiative and a willingness to learn
Ability to self-manage and effectively manage workload
Ability to collaborate with other business units within the Company
Ability to lift 50 pounds
Valid driver’s license
Must be willing to answer emergency after-hours calls when necessary
Must be willing to work overtime from time-to-time
