Job Description

This position will be accountable for MAC (Moves, Adds and Changes) Office Furniture Service Program in downtown Toronto two client sites, the responsibilities will include:

1) Planning and delivering all MAC activities within assigned portfolio including:

– Furniture components
– Handyman work
– Physical moves and furniture installations, hands-on work included
– Coordination & managing business unit expectations
– Internal space management database for Move Module updates
– Site Audits to verify furniture reconfigurations, seating plans & occupancy updates
– Work with the client to complete test-fits
– Gain client sign-off on design and budget
– Additional requirements as identified by the Facility Manager based on business requirements

2) Will participate in weekly team meetings.

3) Proactively manage any Service Request related issues that may arise.

4) Receiving Service Requests from client employees from internal system and efficiently manage and coordinate move activities to ensure client’s budgets are met for each MAC service request.

5) Ensuring Service Requests are closed as soon as the work is completed by:
– Following up with the client(s) to ensure they are satisfied with the service
– Identify and provide solutions where the client is not satisfied
– Close the Service Request pending client satisfaction

6) Reaching out to Business Units as required to collect seating change data and update internal system. This role is responsible for ensuring that the database is maintained with up-to-date information including the seating location of all resident employees and work with the client coordinator to assist with seating changes.

7) Partner with identified (Design Team, Facility Team, etc) stakeholders to meet Service Request requirements and business expectations.

8) Leveraging New Hire Report from internal system as a tool to help identify new hires and input seat locations into database.

9) Work with client stakeholders to identify where CAD updates are required for furniture/architectural drawings and ensure that the changes are appropriately captured in database and work with stakeholders to effect changes on CAD drawings; (CAD skills are not a requirement, but will be considered an asset).

10) Meet assigned financial targets by working within the approved budget signed off by business units.

11) Participate and/or lead client occupancy planning meetings with key stakeholders.

12) Prepare and update Dashboard(s) for review by Facilities Manager.

13) Responsible for resolution of disputes with Stakeholder Business Units.

14) Conduct periodic invoice audits and supporting documentation to ensure accuracy and timely payment process with contract requirements.

15) Update, review, and evaluate tracking reports generated by client software system – reporting requirements will be determined by the Facility Manager, and maintain files pertaining to tracking of financial expenditures.

16) Prepare scope of work (SOW) for various contracted services pertaining to MAC activities.

17) Ensuring all Service Request installation(s) are executed, with completed close-out documentation.

18) Enhancing and maintaining existing client relationships and developing positive new relationships with stakeholders.

19) Implementing continuous improvement strategies to enhance the MAC and Facilities Services processes.

20) Engagement of appropriate stakeholders to ensure effective timely and complete execution of the requisite Service Requests.

This position reports to the McIntyre Group, however on-site the role reports to the client Facilities Manager and is expected to provide updates to client on:

status of assigned tasks and/or deliverables
update on issues where an escalation may be considered
Dashboard(s) updated to include the status of all projects or miscellaneous tasks in flight, and
discuss issues or barriers to project plans with options and recommendations for moving forward
Position is based on a 37.5 hour work week; normal hours of work are between 8am – 4pm, Monday to Friday. Occasional after hour work may be required.

Job Requirements:

Client facing managerial experience
Resourceful, solution oriented, organized and excellent multi-tasking skills
Previous experience in furniture installation and space design required
