The Supervisor, Maintenance/Administration/Office Services, leads the Office Services team including the Reception, Switchboard, Mailroom and internal Housekeeping Staff requirements of both the Store Support Centre (SSC) and Stores nationally. This role will oversee the day-to-day operations and provide a high level of hands on participation and engagement with the team to drive the external and internal customer experience. This role also supports the Facilities Department by supporting administrative activities aligned with Preventative and Demand maintenance such as invoice and PO match, Health & Safety initiatives, incoming service maintenance calls or emails from both the Stores & SSC.

Specific responsibilities include (but are not limited to) the following:

– Lead, motivate, and retain a team of high performing employees by recruiting, selecting, hiring, and on-boarding the best talent by communicating performance goals and providing positive/proactive coaching to behaviors that help achieve those goals, recognize and reward extraordinary performance, give feedback and develop performance improvement plans for underperforming employees
– Oversee day-to-day operations of Reception, Switchboard, Housekeeping, and LL Building relations directing pertinent communication regarding events, issues, concerns to staff
– Manage staffing, preparing staff schedules, ensuring coverage during hours of operation
– Must be Flexible with 7 days a week availability to manage employee absences and appropriate schedule updates to support the reception switchboard and mailroom function occasionally ie. Breaks, sickness
– Respond to both building and Store maintenance issues and projects as assigned including Holts office building pass card, office key control / logging, and needs for resetting lockers
– Organize and participate in office moves, coordinate with EA’s new hire seating, workstation set up, and locker assignment.
– Review and update the store support seating plan, department lists and training documents as needed.
– Manage, procure and remain accountable for the SSC supply budget ie office paper, Kitchen supplies, coffee and condiments, janitorial supplies etc
– Support the Facilities Department in facilities administration of projects, the CMMS program and initiatives for both Stores and SSC
– Responsible for end to end Contract Check verification for SSC and Stores in order to ensure compliance
– Provide support to field Facility/Operations team responding to all calls, emails, and related maintenance issues for both for SSC and Stores
– Active member of JHSC for SSC and fire warden for Floor
– Assist in the development of critical paths and the roll out of all related projects and programs impacting Stores and SSC when applicable
– Assist with the development of RFP and bid packages for the acquisition of new facility maintenance contracts for Stores and SSC
– Update and maintain both manual and automated information in all related databases (i.e. CMMS, Contract Check, etc.)
– Identify and recommend opportunities for the improvement of processes and performance
– Comply with all Health & Safety policies and requirements
– Other duties as assigned and when required

The ideal candidate:

– Post-secondary degree in a related field or equivalent experience Is adaptable and an agent for change
– 3-5 years’ supervisory experience in a fast paced environment, such as a, senior administrative function, call center, or customer facing service position
– Bilingual (English/French) preferred Fluency (both written/oral)
– Confident and effective communication (written & verbal) and interpersonal skills
– Able to multi-task with exceptional organizational and follow up skills
– Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
– Demonstrated ability to motivate, co-ordinate, and supervise staff with the ability to review performance measures, while working productively in a team environment.
